SAP EWM: Pre-allocated stock functionality

Pre-allocated stock is products that you urgently need for goods issue, but which aren’t available in the warehouse, for example, products required urgently by production or customers.

In the system, you can forward the preallocated stock directly from the interim storage area of goods receipt to production supply area or outbound staging area.

Requirement / scenario – Introduce pre-allocated stock concept to speed up the goods receipt process of purchased materials which have open production supply requirements in the warehouse.

To meet the requirements, below configuration settings and master data set up needs to be done.

Need to select the Pre-allocated Stock Allowed checkbox for your warehouse process type in Customizing for Extended Warehouse Management under. Cross-Process Settings-Warehouse Task-Define Warehouse Process Type.

Process Overview:

  1. Delivery Document Creation:
    • A delivery document is created, specifying the items to be picked and shipped.
  2. Pre-allocation in EWM:
    • The system reserves the required stock for the delivery. This can be done manually or automatically based on predefined rules and criteria.
  3. Picking Process:
    • Warehouse workers pick the pre-allocated stock based on the delivery requirements.
  4. Packing and move to PSA:
    • The picked items are packed and prepared to move to PSA.

Configuration and Setup:

To utilize pre-allocated stock in SAP EWM, specific configurations are necessary, including:

  • Stock Types and Storage Locations:
    • Define stock types and storage locations that will be used for pre-allocated stock.
  • Delivery Document Settings:
    • Configure the delivery document types to support pre-allocation.
  • Allocation Rules:
    • Set up rules and criteria for automatic pre-allocation of stock.
  • Monitoring and Reporting:
    • Implement monitoring tools to track pre-allocated stock and ensure efficient utilization.

To determine this WPT you can have a separate Control Indicator. You can assign the control indicator to the relevant products under Warehouse Number Data in the product master.

Make sure to update determination logic for WPT created in above steps.

Maintain preallocated stock entries in the warehouse management monitor under Stock and Bin – Preallocated Stock. Please note that, in this case we have maintained stock type F2.

Please note that the stock type in the inbound delivery will be F1 and which is not the same as preallocated stock. To mitigate this you will have to make use of stock determination group so that even F1 stock type will be allowed to move directly in PSA_BIN.

After updating the pre-allocated stock, we can see that requested qty in bin is 10 and supplied qty is zero.

Configure Stock Determination /Permitted stock type

Configure Stock Determination

Update material master with process type determination indicator and stock determination group.

To test all above configuration and master data, created below delivery with 40 EA. Now Expectation is, system should create one Putaway task of 10 EA for PSA_BIN and other task of 30 EA for regular storage type and bin.

Create task in EWM for this IBD. At the time of task creation we can see that 10 EA are going to PSA bin and remaining 30 EA are going to regular bin. This means that the product is transferred preallocated stock directly from goods receipt to the production supply area.

After task is created, in Preallocated node of monitor we can see that, now system shows supplied qty as 10.

After task confirmation, Preallocated stock entry will become initial in the monitor. This means that preallocated stock is completely supplied to the PSA.

Conclusion:

Pre-allocated stock in SAP EWM is a powerful feature that enhances warehouse efficiency and accuracy, leading to improved customer satisfaction and optimized operations. Proper configuration and management of pre-allocated stock can significantly benefit businesses by ensuring timely and accurate order fulfillment.
